• 1. Where will the meeting be held ?
  • The 2017 NGBT meeting will be held in the MAYFAIR Convention, Bhubaneswar, Odisha, India.
  • 2. When will the meeting start and end ?
  • The 2017 NGBT meeting will start on Oct 2nd at 9:00am and end on Oct 4th at 6:00pm. We expect to have cultural events and conference dinner on Oct 2nd and/or Oct 3rd at 6:30pm.
  • 3. How do I register and what will the registration fees cover ?
  • The registration fees, the relevant categories and the entitlements can be found on the Registration page.
  • 4. Can I register on-site?
  • Yes, it is possible to do spot registration but you will be required to make payment either through credit card or cash. However, to ensure you can attend the meeting we ask that you register ahead, as in 2016 the meeting was oversubscribed and hence could not guarantee onsite/spot registration. We strongly recommend that you register online before the early registration deadline to save on the registration fees.
  • 5. I am an international participant; do I need a visa to attend the meeting?
  • If you are not an Indian national and will be travelling from overseas to attend the meeting you likely need a visa. Conference website has information on obtaining visa. If you are solely visiting India for the meeting you may obtain a “Conference Visa”. However, recently the government of India has introduced e-Visa for nationals of many countries for tourism and casual business purposes.   • 6. My spouse or partner would like to attend the meetings dinner/lunch etc. is this possible ?
  • Yes, an optional accompanying person registration is available. Please visit the Registration page for relevant information.
  • 7. Do I need to submit an abstract to attend the meeting?
  • Abstract submission is not required (though encouraged for poster presentations). You can register without submitting an abstract.
  • 8. Do you accept encore abstracts?
  • Yes, though not preferred. However you must disclose this information during the submission process.
  • 9. I wish to speak at the meeting, how and to whom do I send my proposal/abstract?
  • If you are not an invited speaker but wish to be considered for a speaking slot, please send your proposal/abstract (350 words) to ngbt2017@sgrf.org. We will send it to the organizing committee for evaluation and respond with their recommendations. We have a limited number of slots for speakers selected from the abstracts submitted and hence only abstracts those are able to convey the scientific depth and findings from the work are likely to be selected.
  • 10. Is there funding to help with travel and registration costs?
  • There are a number of student meeting scholarships and travel awards to support meeting attendance by students/post-docs. An abstract submission is required for student to be considered for the awards. Relevant information and criteria for this can be found at 2017 student meeting scholarships and travel awards website.
  • 11. Can I cancel my registration and get the refund?
  • Cancellation request can be made by sending an email to ngbt2017@sgrf.org. Refund is applicable as shown below:
    • Till August 28th 2017 - 80% refund
    • Till September 18th 2017 - 50% refund
    • From September 19th 2017 onwards - No refund
  • 12. I submitted an abstract but need to change or replace it, what do I do?
  • Please send an email to ngbt2017@sgrf.org and we will assist you. Changes to the abstract after Sep 08th 2017 may not be possible, but will do our best to accommodate your request.
  • 13. My abstract has been accepted but I cannot attend, what do I do?
  • Please let us know by sending an email to ngbt2017@sgrf.org We can mark your abstract as withdrawn should you wish. Please note that the cancellation policy described above (in Q10) will still apply for fee refund.
  • 14. Will I receive a Certificate of Attendance?
  • Yes, a Certificate of Attendance will be given at the meeting venue.
  • 15. What are my accommodation options?
  • Many hotels are available around the Mayfair Convention. We are also working with KIIT to accommodate students – more information on this will be available by Aug 15th, 2017. If you have accommodation related questions please contact us at ngbt2017@sgrf.org
  • 16. I need a conference invitation letter – can you help?
  • We can send you an invitation letter. Please send a request via email to ngbt2017@sgrf.org.
  • 17. What is closest airport/train station to the conference venue ?
  • Biju Patnaik (BBI) international airport is the closest airport to the MAYFAIR convention. (the conference venue). Limited number of international flights arrives directly into Bhubaneswar’s Biju Patnaik airport. However, there are many direct domestic flights to Biju Patnaik (BBI) international airport from major airports in India (e.g: Delhi (DEL), Bangalore (BLR), Mumbai (BOM), Chennai (MAA), Hyderabad (HYD)). To reserve airline tickets within India you may use cleartrip.com or makemytrip.com as they offer more domestic flight choices.   • 18. How do it get to the conference venue or hotel from the airport ?
  • Biju Patnaik international airport has pre-paid taxi services. Contact the airport taxi counter for help. You can also have your hotel arrange your pickup by directly contacting them. If you are an invited speaker the organizers will send you relevant information about local transportation.
  • 19. Do I need to exchange currency? Are credit cards accepted widely in India?
  • India Rupees (INR) is the currency used in India. It is advised that you exchange ~100-300 USD worth of money to INR at the airport. You can exchange money at the hotel (Mayfair or Trident – if you are staying in these hotels) but the exchange rates may not be ideal. Currently 1 USD will fetch you ~63-65 INR.
    Credits cards are widely accepted. You will be able to use your credit card for payments at MAYFAIR Convention and similar class of hotels. Please make sure you notify your bank or credit card issuer about your travel so they do not block you card when you try to use it in India. Several credit card companies charge a foreign transaction fee and you may wish to check with your credit card company before using your card.
  • 20. Do I need to bring an international adapter?
  • Power (electricity) shortage is a problem in parts of India - typically hotels in the MAYFAIR class and a majority of the businesses will have backup power. India uses 230V, 50Hz power outlets. Plan to bring appropriate voltage converters and adapters as you see fit.
